Privacy Statement

At Betabit, we believe it is important that you know which personal data we process, why we do so, and how we protect your privacy. We process personal data carefully, confidentially, and in accordance with the GDPR and related legislation.

1. Controller

Betabit B.V. and its subsidiaries act as the data controller for the processing of personal data.

2. What personal data do we process?

The personal data we process depends on the purpose. This may include:

  • Name, role and contact details
  • Company information such as organisation name and address
  • Information required for service delivery, invoicing and communication
  • Website and usage data (including cookies)
  • Application data such as CVs, motivation letters and assessment results

3. Purposes of processing

We process personal data for the following purposes:

  • Delivering our services
  • Managing customer, partner and supplier relationships
  • Communication and handling of inquiries
  • Marketing activities such as newsletters and event invitations
  • Recruitment and selection
  • Analysing and improving our website and services
  • Meeting legal obligations, such as fiscal requirements

4. Legal bases

We process personal data on the following legal bases:

  • Performance of a contract
  • Legal obligation
  • Legitimate interests of Betabit, such as security, relationship management and quality improvement
  • Consent, when required (e.g. newsletters). Consent can be withdrawn at any time.

5. Sharing personal data

We only share personal data when necessary. This may include:

  • IT service providers such as hosting, cloud and email platforms
  • CRM, HR and recruitment systems
  • Marketing and communication service providers
  • Partners contributing to service delivery
  • Public authorities when legally required

We enter into a data processing agreement with parties that process personal data on our behalf. For other service providers, we ensure that appropriate privacy and security arrangements are in place.

6. Retention periods

We do not retain personal data longer than necessary:

  • Customer and project data: up to 7 years (legal retention obligations)
  • Application data: 4 weeks after the recruitment process, or 1 year with consent
  • Marketing data: up to 2 years after the last interaction or until consent is withdrawn
  • Cookies: in accordance with the periods described in our cookie policy

7. Transfers outside the EU

If personal data is transferred outside the EU, we only do so with appropriate safeguards, such as Standard Contractual Clauses (SCCs) and additional security measures. We assess in advance whether a provider meets GDPR requirements.

8. Cookies and website usage

We use functional, analytical, and optional cookies. We use Google Analytics with the following safeguards:

  • IP addresses are anonymized
  • Data is not shared with other Google services
  • Analytical cookies are only placed after consent
  • We do not create individual user profiles

9. Your rights

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion of data
  • Restrict the processing of your data
  • Data portability
  • Object to processing, including marketing
  • Withdraw consent

We will respond to your request within one month.

10. No automated decision-making

Betabit does not make decisions based solely on automated processing that have significant effects on you.

11. Security of personal data

We protect personal data using appropriate technical and organizational measures, including encryption, access control, monitoring, and internal procedures. Employees only have access to data that they need for their work.

13. Complaints to the supervisory authority

You have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

4. Changes to this privacy statement
